The Iowa Department of Homeland Security and Emergency Management (HSEMD) is seeking a highly motivated, dependable, detail oriented, organized and flexible office professional to support the department. Candidate must have superb computer and communication skills. The successful candidate must have the ability to communicate well both orally and in writing. Candidates must be able to work independently or as part of a team. Candidate must be able to work a minimum of 40 hours a week, Monday thru Friday 8:00 am to 4:30 pm. Overtime maybe required during times of disaster response operations. This position is required to work in the office.
Major tasks for this job includes but are not limited to:
Receives/screens visitors and telephone calls; answers routine questions and routes others to the appropriate staff person for handling.
Opens/distributes mail; composes standardized responses to routine inquiries.
Coordinate and distribute purchases.
Assist the Records/Human Resource Officer
Review and verify scanned documents
Assist with written correspondence
Verifies warrants received are on the warrant listing. Mails out warrants with supporting documentation.
HSEMD employment requires that employees are available to respond to work needs outside of normal work hours, such as staffing the State Emergency Operations Center (SEOC) during times of emergency activation. Reporting to work outside of normal work hours is mandatory during SEOC activation.
Other duties as assigned.
Minimum Qualification Requirements
Experience equal to one year of full-time clerical or closely related work;
post high school course work in an accredited secretarial, business, or closely related curriculum may be substituted for the required experience on a month-for-month basis;
completion of thirty (30) semester (or equivalent) hours of undergraduate college level course work may be substituted for the one year of required experience;
certification from the State of Iowa Administrative Assistant Certificate Program will substitute for six months of the required experience;
employees withcurrentcontinuous experience in the state executive branch that includes permanent status as a Typist–Advanced.
