Job Summary:

Opens mail and prepares payments received for data entry reporting. Prepares checks received to be deposited to customer accounts. Provides complete and accurate reporting, check copies or other information as determined by customer and Cash Management officer. Assists with customer communication by phone and/or in person. Acts as a backup and resource person for lockbox daily operations when the manager and/or lead are unavailable. Responsible for balancing and processing check 21 files at the end of the day as well as other end of day tasks.

Primary Functions and/or Responsibilities:

• Act as a backup for client research, problem resolution and professional communication by phone, email and/or in person when manager and/or lead are unavailable

• Act as a resource person and backup for other Lockbox staff with daily lockbox operations, transmission issues as well as system technical problem solving when the manager and/or lead are unavailable

• Assist Lead and Manager with reviewing and keeping client processing instructions & exceptions up to date using MS Word & Excel

• Assist the Lead and Manager with cross training new employees on lockbox operations and software

• Process and submit our daily check 21 files under dual control at the end of each day. Responsible for ensuring that our daily deposit spreadsheets balance to our software deposit total before submitting check 21 files to FIS for processing as well as performing other end of day tasks. When necessary, may need to come back into the office after hours to work with Manager or Lead, BTC IT and FIS personnel to problem solve and resolve issues with the transmission files

• Update check 21 excel spreadsheets each month with new formulas and create new files each year

• Act as a backup to the Lead and Manager for creating new and updating any current client deposit spreadsheet with analysis tracking changes as a result of processing changes

• Assist Manager and Lead with monthly client processing audits to ensure clients are being charged for all lockbox services on their account analysis

• Assist Lead and Manager with setting up new Lockbox clients by creating processing instructions, creating daily deposit spreadsheet and linking it to the check 21 spreadsheet, setting up and labeling the mail bin

• Other duties as assigned

Education and/or Experience:

High school diploma or GED

One to three years of Lock Box experience

Specific Skills, Knowledge & Abilities:

• Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)

• 10-Key by touch

• Data entry - speed and accuracy

• Strong attention to detail

• Strong math skills

• CRT experience

• Balancing skills

• Calculator
