Summary of Duties and Responsibilities

The Office of Admissions at Iowa State University is seeking applications for an Event Coordinator within New Student Programs (NSP). Join a dynamic team responsible for planning and implementing Orientation and Destination Iowa State, serving 8,500 new students and 16,000 guests, as well as collaborating with 550 student leaders each year. Be a part of creating an exciting adventure that is key to new student success and retention at Iowa State.

This position supports New Student Programs throughout the year, which entails event planning, risk management, program development and contract negotiations for Orientation, Destination Iowa State and student leadership events throughout the academic year. The incumbent will work as a liaison to the campus community and will plan complex, multi-faceted, large-scale events. Duties also include participating in on campus recruitment programs and communicating with prospective students and their families. This position will manage the logistics for all orientation events and Destination Iowa State (August and January) activities in close collaboration with the Assistant Director and New Student Programs Team. Duties include providing leadership for program development, as well as coordinating a variety of space needs, room reservations, signage, inventory, purchasing; identifying and negotiating with speakers and entertainment for new student programs; delivering and picking up materials at various locations on and off campus; transporting and placing directional signage in appropriate locations; and monitoring and updating web pages as well as program assessment and end-of-the-year written reports. This position will advise undergraduate student planning committees and supervise student leaders. This person will have direct responsibility for major events held during Orientation and Destination Iowa State.

The successful candidate will serve with energy and enthusiasm, and have excellent organizational skills, time management and problem solving skills; and outstanding written and oral communication skills, and microcomputer skills, especially in a personal computer (PC) environment with Microsoft Word and Excel, including spreadsheet management. The successful candidate will have experience with current technology and be able to develop and implement new ways to integrate technology in our programs. The candidate will be proficient in PowerPoint and have the ability to handle long periods of interpersonal communication (phone calls, face-to-face contact, public speaking, etc.) with diverse groups of people, lift moderately heavy boxes (up to 50 lbs.), set up displays, and function professionally in heavily populated areas. The successful candidate will be able to work under pressure, lead a team, handle multiple tasks at the same time and make rapid, yet proper, decisions; as well as be able and willing to work outside of regular work hours as necessary throughout the year. This role will require early mornings, late evenings, and/or weekends to accommodate student programming as well as the program events themselves.

Required Education and Experience

Bachelor’s degree and 3 years of related experience; OR a Master’s degree and 1 year of related experience.

Supplemental Required Education and Experience

Related experience must include event coordination.

Preferred Education and Experience

Experience with coordinating complex, multi-faceted, large-scale events including negotiating contracts with vendors/speakers/entertainment.

Experience with customer service.

Experience with database systems, Excel, Word, PowerPoint, including mail merge capabilities and spreadsheet management.

Experience with public speaking and presentations.

Vacation time during May through August will be limited as this is peak time for the office.
