Function Overview

Whirlpool is seeking a qualified candidate for the role of Executive Assistant.

This job function conducts a range of diverse administrative or staff functions for the Amana operations leadership team. Responsibilities include delivering administrative and related support services to the organization and may also include finance, information technology, planning, supply, and other corporate services.

Job Responsibilities

  • Provide general administrative support, such as compose & format, prepare and manage business correspondence, presentations, reports, spreadsheets, etc.; proofreading; photocopying; Answering and directing communications such as phone calls and emails, etc.

  • Manage schedules, calendars and travel arrangements, both domestic and international within varying time zones and locations.

  • Coordinate and prepare for high level internal and external meetings, presentations, teleconferences, video conferences, internal team activities, and training programs, etc.

  • Provides a wide variety of administrative support to the department; Such as calendar management, travel arrangements, expense reports, PO/invoices, correspondences, office supply management, and maintaining data and files.

  • Coordinate with other assistants to help develop and drive best practices, proactively resolve issues, and create value for team, invoice processing and expense reporting, analyze problems, develop solutions, and compile data and recommendations to support resolution, maintain a professional, organized and efficient office and working team utilizing leadership, influence and administrative knowledge.

  • Work with critical and confidential information, requiring sensitivity to all confidential matters and handle other duties as assigned

  • Collaborates globally and cross-functionally Interpersonal Skills

  • Communicates in a succinct and action-oriented manner, summarizing information appropriately for an executive audience.

  • Utilizes active listening

  • Know how, and interpersonal skills to engage efficiently and effectively on topics of relevance with all levels of internal management and colleagues and outside collaborators, particularly Senior Leadership and Executive Admin colleagues

  • Strong decision making abilities and skilled at promoting process improvement

  • Ability to work in a dynamic environment by organizing and prioritizing work proactively and managing multiple tasks simultaneously, while supporting several professionals

  • Willingness and ability to take initiative, anticipate issues, and offer solutions

  • Ability to work independently and under pressure to meet deadlines. Strong organizational skills and practices to consistently, reliably and independently follow through with limited supervision

  • A positive, teamwork-oriented attitude and flexible approach.

  • Ability to learn and adjust quickly as new needs arise. Judgment to identify and prioritize issues for the team

  • Ability to be extremely precise and detail oriented, but also to work quickly and provide fast turnaround.

  • Excellent communication skills, both verbal and written.

Minimum Requirements

  • High school diploma or GED

  • 5+ years of experience providing senior or executive level administrative support

Preferred Requirements:

  • Excellent PC skills, including strong proficiency in Google Slides, Sheets, and Docs as well as Microsoft Word, Excel, PowerPoint, email, Internet search engines, etc.

  • Ability to collaborate globally in support of the leader.

  • Must be a self-starter; able to work independently with minimal to no supervision
