Job Description SummaryThe Administrative Assistance will be responsible for making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems. As the "go to" person for a department of over 400 employees, one will have the ability to troubleshoot questions to identify solutions and must possess excellent oral and written communication skills as well as be able to organize their work using tools, like MS Office and office equipment.Job Description

Responsibilities

  • Advanced word processing correspondence.

  • Design spreadsheets and databases for reporting.

  • Compile information and prepare reports.

  • Screen telephone calls and give or relay non-routine information to callers.

  • Make meeting and travel arrangements.

  • High level of analytical work.

  • Determine methods and procedures to be used in resolving routine and some complex inquiries.

  • Generates and maintains confidential files.

  • With Minimal supervision, handles and resolves complex or unique questions, problems, or assignments, exercising independent judgment and initiative on occasion. May provide guidance to others within the same skill area.

  • Coordinate the needs of the office including ordering supplies, paying invoices and assisting the business area as needed.

Qualifications

  • High school education or equivalent.

  • Minimum of 3 years of experience.

  • Working knowledge of MS Word, Excel and Powerpoint

Preferred Qualifications

  • Advanced knowledge of departmental policies and workflow.

  • Experience support a large department (400+ employees)
